How to Prevent Cash Drawer Shortages at the End of a Shift

Posted on October 4, 2026

Few things create tension faster than discovering that a cash drawer is short.

Before blaming anyone, remember that shortages can result from simple mistakes.

Incorrect change, incorrectly recorded payment methods, counting errors, and poorly handled refunds can all create discrepancies.

Start With a Clear Opening Balance

The amount placed in the drawer at the beginning of the shift should be recorded.

Without a reliable starting point, calculating the ending difference becomes harder.

Limit Unnecessary Drawer Access

Employees should use their assigned accounts whenever possible.

Shared drawers and shared login credentials make accountability more difficult.

Count Carefully

Closing counts should follow a consistent process.

If a discrepancy appears, recount before assuming money is actually missing.

Investigate Patterns

One small shortage may be an honest mistake.

Repeated shortages deserve closer attention.

Look at transaction history, refunds, voids, shift changes, and operational procedures.

The purpose should be to understand the cause and prevent recurrence.
